Key Responsibilities:
Administrative Support:
- Attend all meetings of the Sales Manager and provide general administrative support (taking minutes of meetings and following up with key next steps)
- Manage and maintain schedules, including meetings, appointments, and travel arrangements.
- Prepare and edit business communications, reports, presentations, and other documents.
- Handle incoming and outgoing communications, including phone calls, emails, and mail.
- Assist in the preparation and distribution of sales materials and proposals.
Sales Support:
- Process sales orders, ensuring accuracy and timely entry into the sales system.
- Assist in the preparation of quotes, proposals, and contracts.
- Track and monitor sales leads, opportunities, and follow-ups.
- Coordinate with the sales team to ensure timely delivery of products and services to clients.
- Assist in the preparation of sales reports, forecasts, and performance metrics for review by management.
- Maintain and update customer databases and CRM systems.
Client Relations:
- Act as a point of contact for customers, addressing inquiries and resolving issues in a timely manner.
- Provide support in managing client accounts, ensuring satisfaction and retention.
- Assist in coordinating client meetings, events, and surveys.
Other Duties:
- Assist in special projects and other tasks as assigned by the Sales Manager or other senior staff.
- Continuously seek to improve processes and workflows to enhance efficiency.
Kualifikasi:
Qualifications:
- Education: High school diploma or equivalent; a degree in business administration or a related field is a plus.
- Experience: 2+ years of experience in a secretarial or administrative role, preferably with experience in sales support.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Familiarity with CRM software and sales order processing systems.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Attention to detail and a high level of accuracy.
- Ability to work independently and as part of a team.
- Fluency in English would be an asset, but not required
