Deskripsi Pekerjaan:
Administrative assistant to the BOD & BOC
- Provide administrative support the BOD & BOC
- Coordinate the BODs schedule, including arranging meetings, appointments.
- Maintain and organize BOD & BOC files, records, and confidential information systematically.
- Plan and coordinate board meetings.
- Assist in the preparation of meeting agendas and materials and take minutes during meetings as needed.
Office administration role
- Organize office operations and procedures.
- Oversee general administrative tasks, including document filing & official letter numbering, office supply & equipment management, mailings, errands and organizing office repairs. Coordinate with IT & corporate GA.
- Supervise office support staff/OBs.
- Support the purchase of business trip tickets in coordination with group corporate GA.
- Manage office G&A budget (stationery, office supply, pantry supply, etc.) and ensure accurate and timely reporting.
- Organize office layout/seating arrangements.
- Organize office events and activities.
- Address employees' queries regarding office management issues (e.g. office supplies and travel arrangements).
Kualifikasi:
- Min. Diploma/bachelor's in administration, management, communication, secretarial or other relevant degrees.
- Minimum of 3 years as an office manager or secretary to the BOD.
- Strong administrative skills. Highly detailed, well organized and solution oriented.
- Prioritize well, work quickly and on time.
- Able to multitask and manage a high workload environment. Resilient personality
- Excellent interpersonal & communication skills, including written correspondences.
- High integrity, dependable and trustworthy.
- Proficiency in using Microsoft Office suite (Word, Excel, PowerPoint, etc.). Comfortable with digital technology & the internet.
- Very good verbal and written English skills.
